Five Important Reasons Why You
Should Hire a Transcriptionist

or Why Voice Recognition Software Isn't Always the Best Option

You really need to hire a transcriptionist if you have audio tapes or digital files of notes, articles, seminars, or even podcasts filling your filing cabinets and you want to have hard copies of that work. Maybe you've thought it could help, but you use voice recognition software instead, assuming it's the same or better than if you hire a transcriptionist.


But is that really better than a human ear listening to your speeches and transcribing them? Here are five important reasons why you should hire a transcriptionist instead of relying on software:

  1. Not everyone is auditory. Everyone is different, and some people prefer to read something rather than listen to it. It may help them absorb the information if they can see it black and white, rather than simply listening to it.

    This is especially true if the information is detailed or technical. By giving the option of having written content as well as oral content, you can appeal to a wider audience.

  2. Punctuation. When you speak, you don't usually say out loud when you're ending a sentence. In fact, you may even string long sentences together by using conjunctions frequently.

    Unfortunately, voice recognition software can't detect when a sentence should be ended or where commas should be added. It takes a human ear listening to the intent of the content to be able to accurately punctuate the work.

  3. Paragraph breaks. The same is true with paragraph breaks. When you speak, you may have an idea of where you would put paragraph breaks in your speech.

    But software can't detect that unless you specifically indicate them by saying "paragraph break" out loud as you're speaking. Do you know many speakers who do that?

  4. "Fillers." When people give speeches, especially from memory, they may use vocal "fillers," such as saying "aah" or "umm," while they think of where they are or what to say next.

    Once again, voice recognition software can't be depended upon to delete these "fillers" to make the finished product grammatically correct, reducing or even eliminating the need to go back and edit the written product.

  5. Lots of detailed information. If your information is full of technical details or jargon, such as medical notes or seminars, using a transcriptionist may be a better way to relay that information.

    This will ensure that whoever is receiving the information gets everything correct and doesn't miss anything that could be very important.

    After all, if you say "aberrant" (meaning abnormal) but someone hears "apparent" (meaning obvious), the meaning of your work could be very different!

If you have a lot of work recorded from speeches or notes, you should hire a transcriptionist instead of simply using voice recognition software.

From helping your finished product look more professional with proper punctuation and paragraph breaks to ensuring the detailed information is correct, transcriptionists can help you share the information you want with the people that need to know.
